Use Templates for KPIs and Performance Reviews

At a recent meeting with our managers, we discussed the most important KPIs that each team should be focusing on to drive business results. We then created an automated template in Microsoft Excel that calculates the current status, compares it to the plan, and highlights any areas of concern. The managers can then easily copy and paste the data into their performance management tool (Jira, Asana, etc.) to share with their team.

Since we are a fully remote company, automation is critical to ensure that managers are staying up-to-date on all of their team members’ KPIs.

We also created a template in Microsoft Word that automatically generates quarterly performance reviews. The managers can quickly review the template, make updates in Microsoft Excel, and then copy and paste the data into the review. This prevents them from having to manually create reviews from scratch each quarter.

Automated Tracking Employees Work Hours

I’m a huge believer in automating employee performance management. For example, I’ve automated the process of tracking my employees’ hours on a weekly basis. It helps me stay up to date with how much time each employee is spending at work and how much time they’re spending on each project.

Use OpenVio Tool 

Our entire team uses an application developed in-house named OpenVio. The managers assign work to everyone in their team using this application. As the employees complete their tasks, they update their progress on OpenVio along with the approximate time they take to complete individual tasks. The managers rate the quality of the work performed by the employees on OpenVio itself. This creates a good database of the individual employee’s performance.

Using OpenVio, every employee is able to evaluate their performance in comparison to the rest of the team. How are the managers rating them compared to other members of the team? Do they take longer than the rest of the team to complete the same tasks?

An individual employee sees her performance in comparison to an aggregation for the others. OpenVio gives a continuous virtual online personal performance review to everyone. Similarly, the managers are quickly able to check everyone’s performance and assist the employees who are lagging.

Create a Feedback Loop

The most effective way to automate employee performance management is through the implementation of a feedback loop.

When employees are given the opportunity to provide input and feedback on their daily tasks and activities, it enables managers to better track, assess and improve their performance.
